How do I make sure I'm up to date with the latest news about AdventureX 2026?

Where is the action happening and when? How do I get in?

AdventureX takes place on the weekend of 7 - 8 November 2026.

Summary:

Saturday:

- Doors open for exhibitors to begin setup at 8:30 AM, please be ready before the doors open to the public at 9:30 AM. Exhibitor tables are not pre-allocated and can be chosen by exhibitors on a first-come-first-serve basis, the earlier you arrive the more choice you have!

- Doors close to the public at 6:30 PM, please securely store any valuables and leave the venue before 7 PM.

Sunday:

- Doors open for exhibitors to begin setup at 9 AM, please be ready before the doors open at 9:45 AM.
 

- Doors close to the public at 6:30 PM, please take down your exhibit, remove all of your items and leave the venue before 8 PM.

 

Details:
Saturday morning:

Please arrive at 8:30 AM at earliest, and ideally no later than 9:00 AM at the very latest. Doors open for the public at 9:30 AM, so you have up to an hour to set up your table. We generally anticipate this is enough time. Your exhibit must be ready by the time doors open. If you anticipate needing more time, please contact us so we can look into options.

 

Important note: If you arrive late and doors have opened to the public already, you may be required to wait before you are allowed to enter the venue and start setup of your exhibit. The foyer must be succificiently free and open that you can safely bring your gear inside without impeding any attendees.

After arriving, all members of the exhibitor team must provide their name at the check-in desk (located immediately to the right as you enter the building) to be given an exhibitor wristband and lanyard for access to the venue. If any team members have a paid ticket instead of a free Exhibitor pass, those need be shown.

After entering, please choose a table for your exhibit and start setup of your exhibit. We don't allow any exhibitors to reserve a specific table in advance, it's first-come-first-serve to make your choice as you arrive. So the earlier you arrive, the better your chances of grabbing one in an area of the exhibitor hall you prefer!

Event staff, identifiable by lanyards distinct from the attendee lanyards, will be available on the day to provide assistance and direction. As this is a volunteer-run event, there will not be enough staff on hand to assist all exhibitors during the entire set-up period. You should plan to be able to set up without assistance as much as possible.

Saturday evening:

We close for the public at 6:30 PM and attendees will move to the nearby afterparty venue. We will announce this in time, so all exhibitors are aware that we are shutting down the event for the evening.

Important note: Materials can be left within the exhibition area overnight. This area is not accessible to the general public, but will be accessible to LSBU staff and students. Accordingly, anything left in this area overnight will be at your own risk. We have a secure storage area available for more valuable items you wish to leave at the venue overnight.

 

Ensure your exhibit is safeguarded and no valuables remain unsecured before you leave the venue. Please only request storage of your valuables in the secure, locked room on-site if you have no other storage options, since storage space is limited.

 

When you're ready, feel free to join the afterparty! Your exhibitor wristband will get you in.

 

Sunday morning: 

On Sunday, you can arrive by 9 AM. Doors open at 9:45 AM, but you shouldn't need as much time to prepare.

Sunday evening:

We close for the public at 6:30 PM and attendees will move to the nearby afterparty venue. We will announce this in time, so all exhibitors are aware that we will begin teardown of the event. Ideally you can start teardown of your exhibit earlier, depending on how busy the exhibitor floor is near the end of the event day. We request that you are done with teardown and leave the venue by 7:30 PM at latest, though we don't anticipate you'll need that much time!

When you're ready, feel free to join the afterparty! Your exhibitor wristband will get you in.

 

Important note: You must completely tear down your exhibit setup and remove all equipment and items you brought with you from the venue before departing. This does not include any rubbish if disposed of in the receptacles provided by the venue.

 

If this is not feasible, please contact us in advance and we will look into options. It may be possible to store your goods in the on-site secure, locked room for one more night to be removed from the premises on Monday, but we cannot guarantee this for everyone since the storage space is limited. Please only request this if you have no other storage/transportation options.

Do we need to be on-site to exhibit our game?

In one word: Yes.

All exhibitors must commit to attending AdventureX 2026 to present their exhibit in person in London on 7 & 8 November 2026. Remote exhibiting is not possible, and it's not allowed to let strangers or anyone not directly involved in your game run your exhbit.

Exhibits must be manned throughout the duration of the event by at least one person (ideally at least two, so each person can take a break) who's actively involved in the project, typically developers or publishers. Exhibitors are expected to be able to explain, demonstrate and discuss the game competently with attendees in English.

Additionally, if your team includes anyone who is not a UK citizen, they must be legally allowed to be within the UK.

 

Do I need to buy a ticket to exhibit my game?

You will be provided up to two free Exhibitor passes when you submit the names of the team members who will be manning your exhibit table.

 

If you plan to have more than two people at your exhibit table and wish to request additional free Exhibitor passes for this purpose, this must be asked in advance and will be up to our discretion to approve. If it's not possible for us to provide more, a weekend ticket can be purchased for the additional team members.

How should we behave?

You will follow all reasonable requests made by event staff. Event staff will be clearly identified by lanyards that are distinct from ordinary attendees.

You may only exhibit the game you submitted for selection, and nothing else. Your exhibit may not showcase any different games or share a table with anyone else. The game you exhibit must be your (company's) own work for which you hold the rights, and may not include any material not created by you or your team, except where specifically licenced from the owner.

We do everything we can to run an inclusive and safe event where all are welcome. We have a Code of Conduct which we expect all attendees, including exhibitors, to abide by. Please read it carefully. Any intolerant, abusive, or otherwise problematic behaviour can result in expulsion from the event (without the right to any refunds of purchased tickets, or other compensation) and exclusion from future AdventureX events/Steam sales for the individuals and teams/companies involved.

Important note: the Code of Conduct is subject to change and may be updated at any time, at which point you will be notified. Exhibitors are expected to have read and abide by the latest version of this document at the time of the in-person event.

 

Do I need insurance?

Exhibitors are expected to have their own insurance to cover your attendance and exhibit at the event, including public liability insurance. Our event insurance only covers activities by event staff and will not cover you or your equipment.

We do everything we can to run a safe, welcoming event. However, the organisers of AdventureX accept no responsibility for injury, loss of, or damage to property during the event. If you do not have public liability insurance for your presence at the event, AdventureX and LSBU are not liable for any incidents where you or anyone associated with/responsible for your exhibit is at fault.

What do I do if I have a problem on-site?

If you have an issue during the event, please report this to one of the event staff/volunteers and they will do their best to help resolve the situation in a timely manner.

VENUE

What amenities and access will be available at the venue?

The venue has:

  • Disabled access to all areas.

  • An on-site café and restaurant selling food and drinks throughout the event.

  • Accessible toilets.

  • 24-hour security.


Important note: there is no on-site parking. We highly encourage travel by public transit to the venue when possible. There may be public parking availability in the area, but we cannot facilitate or guarantee this.

 

Can I bring my own food and drink into the venue?

Please don't bring your own food and drink, unless required for medical reasons. Medications and water are allowed. Food and drink can be purchased on-site. Bags may be checked on entry.

Does AdventureX recommend/offer a preferential rate for any nearby hotels?

We do not have any group booking or preferential rate deals with any hotels near the venue, nor can we recommend any specific accommodation options.

As an exhibitor, am I allowed to cosplay a character from my game at the event?

Yes! As long as your costume isn't a potential hindrance to other attendees (by size or otherwise), please feel free to bring an outfit to dress up as a character of your game!

Table Setup

How much space do I have for my exhibit?

You will have a 6-foot / 182 cm long table. An example from 2022:
 

 

 

Tables will be positioned alongside the walls of the LSBU Hub's exhibitor space to ensure open walkways for attendees.

Important note: You will have space to set up a vertical roller banner or similarly sized promotional/marketing materials (such as a standee) next to, on or behind your table, but please don't stick anything (like posters) to any walls or building infrastructure.

 

You're free to have additional promotional materials and merch on your table as long as it doesn't encroach on anyone else's stand, or get in the way of anyone walking past or sitting down at your exhibit. Please ensure that you set up your exhibition space in a way that does not impede movement around the event, nor creates additional hazards to attendees (e.g. trip hazards). All exhibition spaces will have sockets behind the tables to minimise these risks. Tape to secure cables can be provided as required.

 

What will be provided for my exhibit? What must I bring?

Exhibitors are responsible for providing their own equipment to present their exhibit at the event. AdventureX will provide each exhibitor with a table, tablecloth, chairs, and access to a UK power socket, but no additional hardware or peripherals will be supplied.

This means that any equipment like laptops or other computers/devices for demo'ing your game, external monitors, keyboards/mice/controllers, cables, adapter and anything else you might need for your exhibit will need to be provided by yourself.

Ideally, provide 2 laptops/devices, headphones and mice/controllers for players. If only 1 person can play your game at a time or there are no headphones or mice/controllers to use, it may prevent interested attendees from playing your game, which is the opposite of what you want!

Important note: You must bring your own adapters/power cables. These must be UK plugs, you are not allowed to jam 2 pin plugs into 3 pin outlets. 2-pin to UK 3-pin converters can be used if necessary. The event does have some extension cables available, but these are limited in number and will be provided to exhibitors on a first-come-first-serve basis. You should plan to have sufficient cables available for your desired setup.

 

Additionally, any electrical/electronic equipment you use which is plugged into a power outlet is expected to be PAT tested (= Portable Appliance Testing) and generally expected to have been tested to ensure it is not hazardous to use. This includes extension leads/splitters. We will not have PAT testing available on-site and cannot recommend a specific third-party provider for that. Alternatively,  CE certification for your equipment will suffice as long as the certification can be proven.

 

You are responsible for providing sufficient and safe equipment to run your demos. A visual inspection of equipment at your exhibit may be performed for health/safety/insurance reasons.

You cannot rent or lend any equipment through us or LSBU. We suggest renting any necessary hardware/peripherals from a company in London. We cannot personally recommend any specific rental companies, but here are a couple which are situated relatively close to the venue:

Any equipment and items you need for your exhibit should not take up more space than your table area.

Do you have any advice for exhibiting?

Generally, be mindful of the time and place and try to make the most of the event! Attendees appreciate it if you are friendly, open and receptive to those interested in checking out and discussing your game. That's what you're exhibiting at AdventureX for, after all!

We strongly encourage you to provide multiple stations to demonstrate your game, so multiple attendees can try out your game at the same time. We also recommend limiting each player's playtime to roughly 20 minutes at most. This will help ensure your game reaches as many attendees as possible, and avoids frustration from people who otherwise might be unable to get a chance to try it out.

It may be beneficial for interested attendees waiting to play your game and/or have a chat with you if there are items such as design materials or concept art from the making of your game for them to peruse in the meantime... especially when it's busy!

The following info about the Steam Event is entirely draft and to be determined for 2026. At time of writing (April 2026), we cannot guarantee there will be a 2026 AdventureX Steam event as we need to apply for it with Valve, though we endeavour as always to ensure it happens.

Steam Event

When will the Steam Event run?

It's happening from 19 November to 3 December 2025.

Will it be featured?

While we cannot guarantee anything that Valve is in charge of, we have been told by our partner ASH Games, who organise the annual AdventureX Steam event on our behalf, that we will have a 72 hour homepage feature (takeunder) in the UK region, starting on 19 November right when the event goes live.

 

This is the longest period our annual Steam Event has had a homepage feature for, but also the first time it's limited by region, as this is a new feature on Valve's end.

How can I promote my game's selection by AdventureX and participation in the Steam Event?

You can use the #AdvX25 hashtag on social media (Twitter, BlueSky, Mastodon, Instagram, ...).
