How do I make sure I'm up to date with the latest news about AdventureX 2026?
Anything you need to know as an exhibitor should be communicated to you on this exhibitor FAQ page, our general FAQ page or by email. If you have any other questions or seek clarification on any points, please contact us by email.

Where is the action happening and when? How do I get in?

AdventureX takes place on the weekend of 7 - 8 November 2026.
Our full schedule is available on our Schedule page. Doors open to the public at 9:30 AM and close at 6:30 PM. When the main event closes, you are welcome to join us at the nearby afterparty venue!
We expect speakers to be present at the event at least 1 hour before the scheduled timing of their talk/panel. The first talk of the day (after our "Welcome to AdventureX 2025" speech) starts at 10:30 AM on Saturday and 10:45 AM on Sunday, so make sure you arrive well in time if your talk is early.
Additionally, please keep in mind that it's possible we may run behind schedule somewhat and the start time for your talk could consequently be delayed. If you need to leave shortly after your talk, please take this into account and let event staff know if necessary.
After arriving, speakers must provide their name at the check-in desk (located immediately to the right you enter the venue's building) to be given your speaker wristband and lanyard for access to the venue.
You are free to attend the event just like anyone else before and after your talk/panel. There's a backstage greenroom area where you can find food and drinks, take a break, socialise with others in a quieter area, prepare your talk, have interviews with press etc ... which is indicated on the map in your programme by the green line.
There will be a sign indicating the way to the greenroom from the exhibitor hall, and a staff member will check your lanyard/wristband to ensure you can access the area.
Event staff / volunteers, identifiable by lanyards distinct from the attendee lanyards, will be available on the day to provide assistance and direction.
Do we need to be on-site to do our talk/panel/show?
In one word: Yes.
All speakers must commit to attending AdventureX 2026 to present their talk/panel in person at the event, taking place in London on 7 & 8 November 2026, for at least the duration of that talk/panel/show on the day it is scheduled to take place.
Remote speaking is not possible.
Additionally, any speaker who is not a UK citizen must be legally allowed to be within the UK.
How should we behave?
You will follow all reasonable requests made by event staff. Event staff will be clearly identified by lanyards that are distinct from ordinary attendees.
You will also follow all reasonable requests made by venue staff. Venue staff will be clearly identified by LSBU identity cards.
You may only present the talk/panel you submitted for selection, and nothing else.
We do everything we can to run an inclusive and safe event where all are welcome. We have a Code of Conduct which we expect all attendees, including speakers, to abide by. Please read it carefully. Any intolerant, abusive, or otherwise problematic behaviour can result in expulsion from the event (without the right to any refunds of purchased tickets, or other compensation) and exclusion from future AdventureX events for the individuals and teams/companies involved.
Important note: the Code of Conduct is subject to change and may be updated at any time, at which point you will be notified. Exhibitors are expected to have read and abide by the latest version of this document at the time of the in-person event.
Do I need insurance?
Speakers are not necessarily expected to have their own insurance to cover your attendance and speak at the event, but public liability insurance is good to have just in case. Our event insurance only covers activities by event staff and will not cover you or your talk/panel/show.
We do everything we can to run a safe, welcoming event. However, the organisers of AdventureX accept no responsibility for injury, loss of, or damage to property during the event. If you do not have public liability insurance for your presence at the event, AdventureX and LSBU are not liable for any incidents where you or anyone associated with/responsible for your talk/panel/show is at fault.
What do I do if I have a problem on-site?
If you have an issue during the event, please report this to one of the event staff / volunteers and they will do their best to help resolve the situation in a timely manner.
VENUE
What amenities and access will be available at the venue?
The venue has:

An on-site café and restaurant selling food and drinks throughout the event.

24-hour security.
Important note: there is no on-site parking. We highly encourage travel by public transit to the venue when possible. There may be public parking availability in the area, but we cannot facilitate or guarantee this.
Can I bring my own food and drink into the venue?
Please don't bring your own food and drink, unless required for medical reasons. Medications and water are allowed. Food and drink can be purchased on-site. Bags may be checked on entry.
Does AdventureX recommend/offer a preferential rate for any nearby hotels?
We do not have any group booking or preferential rate deals with any hotels near the venue, nor can we recommend any specific accommodation options.
As a speaker, am I allowed to cosplay a character from my game at the event?
Yes! As long as your costume isn't a potential hindrance to other attendees (by size or otherwise), please feel free to bring an outfit to dress up as a character of your game! It is at your own discretion whether you wear it during your talk/panel/show, though the audience may find this especially entertaining.
Talk preparation
What do I need to do to prepare for my talk/panel?
If you have presentation slides to be displayed, the final presentation file(s) need to be delivered to the organisation by 1 - 2 weeks before the event at latest, so we can ensure these are available on our presentation laptop to be shown during your talk. We will not let you use your own laptop for projecting it unless absolutely necessary, so please ensure we receive them on time. You can send them by email with a link to cloud storage (Google Drive, Dropbox, ...)
Ideally we receive it as a Powerpoint file (with any video/audio embedded in the presentation itself, instead of linking to an online webpage). A PDF can also be used, but Powerpoint is easier and preferable for the sake of consistency between different talks.
A clicker will be available for moving through your presentation slides while walking around. We will do our best to ensure that the laptop shows any notes your presentation contains, in case those are necessary for you.
Considering we have BSL interpreters who will be interpreting your talk/panel live, it is also appreciated if you can provide your presentation (draft or final slides) or a document explaining what your talk/panel will contain, for the interpreters to practice beforehand. This is easiest when the document is provided at least 1-2 weeks in advance.
Do you have any advice for speaking?
A great talk inspires and educates, while also being engaging and/or entertaining!
Be mindful of the timing of your talk and try not to go over your allotted time (30 minutes for a regular talk, 45 minutes for a keynote, 1 hour for a panel). Ideally, you can reserve +/- 3 minutes for a quick Q&A with the audience at the end.
Please try not to go over your talk's scheduled length, as any delays can impact the rest of our schedule.
